Liability and Hold Harmless Agreement/Waiver
By exhibiting at the 2026 ACCED-I Annual Conference, you acknowledge the following:
I agree and acknowledge that I am undertaking participation in ACCED-I events and activities as my own free and intentional act and I am fully aware that possible physical injury might occur to me as a result of my participation in these events. I give this acknowledgement freely and knowingly and that I am, as a result, able to participate in ACCED-I events and I do hereby assume responsibility for my own well-being. I also agree not to allow any other individual to participate in my place. This acknowledgement includes my guest(s)'s participation in any tours and evening events.
Cancellation Policy
All ACCED-I Annual Conference sponsorship and exhibitor registrations are confirmed upon receipt of payment. By choosing the “Bill Me” option during checkout, you agree to pay all fees selected in the registration. Cancellation of sponsorship, exhibit space, and exhibitor add-ons must be in writing. Telephone cancellations will not be accepted. Full refunds (less the credit card processing fee or a $10 check fee and a $500 administrative fee) will be made for exhibits cancelled before December 13, 2025. 50% of the exhibit cost will be refunded December 14, 2025 - January 24, 2026. In no case will a refund be issued for a cancellation made after January 24, 2026. In the event the ACCED-I Annual Conference & Expo is cancelled due to fire, strikes, government regulations, acts of God, or other causes beyond the control of the Association, ACCED-I shall not be held liable for failure to hold the ACCED-I Annual Conference & Expo as scheduled, and ACCED-I shall determine the amount of exhibit fees to be refunded.
Conference Participation Policy
All exhibitors are welcome to attend educational sessions when space is available in session rooms. Exhibitors can purchase tickets to attend meal functions, pre/post conference activities, and institutes based on space availability. ACCED-I restricts exhibitors from hosting or participating in competing or conflicting events or activities that occur during official conference hours. Exhibitors violating this policy will be subject to cancellation of their booth without refund and may not be invited to participate in future ACCED-I exhibitions. Booth personnel are not permitted to promote the exhibiting company outside the contracted exhibit space. All marketing must remain within the contracted exhibit space. Marketing materials may not be placed on conference tables or other areas that are not within the boundaries of the booth, both inside and outside of the exhibit hall. Conference management reserves the right to remove individuals or discard display materials that do not comply with these guidelines. ACCED-I has a zero-tolerance policy regarding suitcasing.
Suitcasing is a business practice in which unethical companies will gain access to an event by obtaining some type of event credential (attendee badge, expo-only badge, etc.) and then solicit business in the aisles or other public spaces used for the conference. Any exhibitor who is observed to be soliciting business in the aisles or other public spaces, or in another company's booth, will be asked to leave immediately. ACCED-I recognizes that suitcasing may also take the form of commercial activity conducted from a hotel guestroom or hospitality suite, a restaurant, or any other public place in proximity to our conference. For the purposes of this policy, suitcasing violations may occur at venues other than the expo floor and at other events. It is for this reason ACCED-I must be informed of any hospitality suites and expressed consent must be given prior to the event. This practice skirts the support of ACCED-I and the industry. Please report any violations you observe to ACCED-I staff.
Sponsorship Policy
All sponsorships are available to ACCED-I corporate members only and are awarded once payment is received on a first-come, first-served basis. Previous year’s sponsor receives first right of refusal for specific sponsorships; however, commitments must be received by November 6, 2025 and then the option becomes available to all other corporate members.
Booth Assignment Policy
Sponsors will have their choice of booth space in the order in which the sponsorship was received. All others will be assigned based on registration date and business type.

ACCED-I is committed to providing a friendly, safe and welcoming environment for all, regardless of gender, sexual orientation, ability, race, ethnicity, religion, national origin, or other protected characteristics. We expect all attendees, media, speakers, volunteers, venue staff, and exhibitors to help us ensure a safe and positive experience for everyone.
Code of Ethical Conduct: Be considerate, respectful, and collaborative. Refrain from demeaning, discriminatory, or harassing behavior and speech. Be mindful of your surroundings and of your fellow participants. Alert event venue security or ACCED-I staff if you notice a dangerous or harassing situation or someone in distress.
Unacceptable Conduct: All who participate in the event deserve respectful treatment, regardless of the capacity in which they are attending. Unacceptable behaviors include intimidating, harassing, abusive, discriminatory, derogatory, or demeaning conduct by any attendee, speaker, partner, exhibitor, or volunteer of the event or related event activities. ACCED-I defines harassment to include: offensive verbal comments related to gender, sexual orientation, race, religion, national origin, gender identity, or disability; use of nudity and/or sexual images in public spaces (including presentation slides); deliberate intimidation, stalking or unwelcome following; harassing photography or recording; sustained disruption of talks or other events; unwelcome physical contact or sexual attention. Attendees often combine professional activities with social interaction and while ACCED-I encourages such networking and strengthening of connections between participants, ACCED-I reserves the right to remove anyone whose social attentions become unwelcome to an attendee or exhibitor, who appears inebriated and who engages in conduct that interferes with the ability of other attendees and/or exhibitors to participate in and enjoy the event. Event participants are not permitted to bring firearms to the event.
Consequences of Unacceptable Conduct: Unacceptable behavior will not be tolerated at the events whether by (including but not limited to) attendees, media, speakers, volunteers, organizers, venue staff, sponsors, or exhibitors. Anyone asked to stop unacceptable behavior is expected to comply immediately. ACCED-I, at its discretion, may bar those who violate this code from continued attendance or participation in some or all the events, without refund of any fees paid, and may in appropriate circumstance bar violators of this code from attendance or participation of future events.
Photography Agreement/Waiver
ACCED-I plans to take photographs at the ACCED-I Annual Conference and reproduce them in ACCED-I educational, news or promotional materials, whether in print, electronic or other media, including the ACCED-I website. By participating in the ACCED-I Annual Conference you grant ACCED-I the right to use your name, photograph and biography for such purposes. All postings become the property of ACCED-I. Postings may be displayed, distributed or used by ACCED-I for any purpose.
